Privacy notice

This page explains what personal information I collect when you use this website, get in touch, or work with me — and what I do with it.

Who I am. recoach is run by Paul Sines, a sole trader based in Surrey, England. I am the data controller for the information described here, and I am registered with the Information Commissioner’s Office (ICO), registration ZC218713. You can contact me about anything on this page at hello@recoach.uk.

When you enquire. If you contact me through the enquiry form or by email, I receive your name, your contact details and whatever you choose to tell me. I use it to reply and to have a useful first conversation. If we don’t go on to work together, I delete it within 12 months.

When you book. Booking runs through Calendly, which collects your name, email and chosen time and places the appointment in both our calendars. Payment for coaching is taken in advance through Stripe — I never see or store your card details; Stripe processes the payment and I receive confirmation and the records I need for accounting. Before your first session, your coaching agreement is sent for electronic signature through DocuSign.

When we work together. I keep brief records of our sessions — what we worked on, what you’re working towards, and anything we agreed. They exist so the coaching is consistent and useful across sessions. What you share in sessions is yours; I only record what serves the work. Online sessions run on Zoom; sessions are not recorded. I keep coaching records for six years after our work ends, then delete them.

Everyday tools. My email, calendar and files run on Google Workspace. This website is hosted by Netlify.

Why I’m allowed to use your information. For enquiries: my legitimate interest in responding to people who contact me. For booking, payment, contracts and the coaching itself: because it’s necessary to provide what you’ve asked for. For accounting records: legal obligation.

Who I share it with. Only the service providers named above, each of which processes it on my instructions under a data-processing agreement — never sold, never used for advertising, never shared beyond what the service requires. Some of these providers are US companies; where information leaves the UK it is protected by the UK’s approved transfer safeguards.

Confidentiality has limits. What you tell me stays between us, with the standard exceptions: where I’m required by law to disclose something, or where I believe there’s a serious risk of harm to you or someone else. If your coaching is sponsored by your organisation, what the sponsor is told is agreed with you in writing before we start — see the terms.

Cookies. This site sets no cookies of its own. The booking pages embed Calendly, which sets cookies needed for the booking to work — Calendly’s own privacy notice covers those.

Your rights. You can ask me for a copy of the information I hold about you, ask me to correct it, or ask me to delete it — and I will, except where I’m required to keep it (accounting records, for example). Email me and I’ll respond within a month. If you’re unhappy with how I’ve handled your information, you can complain to the ICO at ico.org.uk.
